Reports directly to the Pastor
Overview of Responsibilities:
Responsible for directing the administrative, business, financial and facilities functions to enable the mission and ministry of the church. Works with the Pastor and Committee on Finance to develop the budget and monitor cash flow and spending. Works with the Pastor and Board of Trustees to maintain and renovate the facilities. Implements the policies and procedures of the Church. Supervises and oversees the office administrative staff and custodian.

· Strong interpersonal skills with demonstrated written and oral communication skills
· Working knowledge of MS Office programs and Realm church management software (training provided if needed)
· Possess excellent financial skills
· Proven planning and organizational skills
· Detail oriented
· Strong administrator
· Open minded, flexible and adaptable
· Familiar with, or willing
· to become familiar with, and support the Methodist Church tradition and theology
· Exhibits time management and can appropriately balance priorities
· Previous experience in a leadership/management role in a church or non-profit is beneficial, but not required
Essential Functions:
Leadership and Administration:
· Supervises and manages the Administrative Staff and Custodian
· Monitors annual contracts and scheduling of maintenance and repairs
· Ex officio Member, without a vote, of Finance Committee, Board of Trustees and Church Council; provides complete financial reports to each
· Coordinates and oversees counting of Sunday and other collections with a counting team
· Oversees all office equipment maintenance, leases, upkeep, repairs and procurement.
· Orders office supplies
Facilities
· Manages all Facilities Issues, including leases, licenses, repairs and renovations.
· Working with the custodian, ensures all the facilities are kept clean and functioning properly.
Finance
· Serves as Church Treasurer
· Assists in preparation of the Annual Budget with the Pastor, Finance Chair and Finance Committee
· Maintains all Finance records and church records of staff, contracts and building
· Responsible for paying all invoices and reimbursements for the church and Kids Day Out (KDO)
· Posts accounts receivable, accounts payable, disbursements and payroll
· Prepares payroll for all church and KDO employees, working with a payroll company
· Reports on/monitors all invested funds as directed by the Pastor, Board of Trustees and Legacy Committee
· Reconciles and balances church checking accounts monthly.
· Monitors the cash flow of the operating budget, keeps Pastor and Finance Chair informed
· Maintains all records for the designated funds
· Inputs new givers into the church software, keeping Pastor and Director of Evangelism & Engagement informed
· Maintains accurate contributions by members and others
· Disburses funds for apportionments, insurances, invoices and reimbursements
· Creates and emails/mails quarterly and year-end contribution reports to all givers
· Submits pension and health insurance payments for the Pastor
· With the payroll company, prepares 1099s as needed and ensures payroll taxes are paid
· Prepares annual Financial Audit Reports, submitting by due date with supporting information
· Inquires and/or follows up on issues relative to vendors, invoices as necessary and upon request of the Pastor, staff, KDO Director, Finance Chair and Trustee Chair
· Provides other financial information as requested by Pastor, Finance Chair, KDO Director and others
· Notifies Pastor of any special contributions or changes in family/individual giving
· Maintains the Credit Card and Sam’s Card for the Church, paying the bills and monitoring the card holders among the staff
Educational Requirements
· Bachelor degree in Accounting or Finance, or equivalent, preferred but not required
· At least 3 years business experience, preferably in a non-profit or church management, is required
· Managerial or supervisory experience
